A Thousand Words Marketing Ltd. (“ATWM,” “we,” “our,” or “us”) is an event and event-technology services agency based in Ontario, Canada. We support clients and their event attendees worldwide, primarily in the United States.

This Privacy Policy explains how we collect, use, share, retain, and protect personal information when you interact with ATWM, visit our website, or when we provide services to our clients.
 

1. Definitions

2. When ATWM Is a Data Controller vs. a Data Processor

We act as a Data Controller when we collect and use some personal information for our own business purposes, such as when you contact us through our website, apply for a job, or subscribe to our newsletter.

We act as a Data Processor when we process personal information on behalf of our clients when providing event services. In those situations, our clients determine how attendee information is used, and ATWM processes it on their behalf.
 

3. Types of Personal Information We Collect​

3.1 Personal Information Provided by You

When you contact ATWM through our website or communicate with us directly, we may collect information such as your name, organization, email address, phone number, event details, and any other information you choose to provide.


3.2 Event Registration & Attendee Data

When ATWM provides event management and technology services, we may process personal information about event attendees on behalf of our clients. Depending on the event, this may include registration and contact information, event preferences, travel or accommodation information, accessibility or dietary requirements, and other information needed to support the event. Event information is primarily managed through the applicable event platform, such as RainFocus, but may also be exported or shared when needed to deliver event services, reporting, or other client requirements.


3.3 Usage Data

When you visit our website, we may automatically collect information about your visit, such as your IP address, browser or device information, pages visited, traffic source, and interactions with our website. We use this information to understand how our website is used and improve its performance and content.


3.4 Cookies

We use cookies and similar technologies for website functionality, analytics, and advertising measurement. We use Wix's website analytics tools and Google services, including Google Ads, to understand website activity and measure the effectiveness of our advertising. You can manage your cookie preferences through the options provided on our website.


4. How We Use Personal Information

We may use personal information to: respond to inquiries; provide and manage our services; support client events and event programs; communicate with clients, attendees and other contacts; operate and improve our website; send newsletters and marketing communications where you have subscribed or consented; recruit and evaluate job applicants; and comply with legal and contractual requirements.

 

ATWM does not sell Personal Information.


5. How We Share Personal Information

We may share personal information with service providers that help us operate our business, website, communications, analytics, and event services; with our clients and other parties as needed to deliver contracted event services; with legal or regulatory authorities where required by law; or in connection with a business transaction such as a merger, acquisition, or sale. We require service providers handling personal information on our behalf to use it only for the purposes for which it was provided and to protect it appropriately.​

 

6. International Transfers

Personal information may be processed outside Canada, including in the United States, depending on the services and service providers involved. When information is processed in another country, it may be subject to the laws of that jurisdiction.


7. Data Retention

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, or as required by law, contract, or client instructions. For event attendee information, our standard practice is to review information after post-event reporting and client activities are complete, generally targeting completion of this review within 90 days after the event. Information that is no longer required is deleted or anonymized as appropriate. Other business records are retained according to our legal and business requirements. 

 

8. Your Rights

Depending on where you live, you may have rights regarding your personal information, including the right to request access to or correction of your information, request deletion where applicable, withdraw consent where processing is based on consent, or raise a concern about how your information is handled.

To make a privacy request or raise a concern, contact our Privacy Officer at help@atwm.ca. If ATWM processes your information on behalf of one of our clients, we may direct your request to that client.

 

9. Security

We use administrative and technical safeguards designed to protect personal information against unauthorized access, use, disclosure, loss, or misuse. While we take reasonable steps to protect personal information, no system or method of transmission is completely secure.

 

10. Links to Other Websites

Our website may contain links to third-party websites. ATWM is not responsible for the privacy practices of those websites, and we encourage you to review their privacy policies.


11. Children’s Privacy

Our services are not intended for children under 16 unless authorized by a client.

 

12. Job Applicants

If you apply for a position with ATWM, we collect the information you provide with your application, such as your contact information, resume, and other information you choose to provide. We use and retain this information for recruitment and future opportunity consideration purposes.

 

13. Newsletter & Marketing

If you subscribe to the ATWM newsletter or otherwise consent to receive marketing communications from us, we use your contact information to send company news, updates, and information about our services. We use service providers, including RainFocus, to help us deliver these communications. You can unsubscribe at any time using the unsubscribe link included in our emails.


14. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on our website and revise the “Last Updated” date.
